How to Operate a Personal Data Protection Law (PDPL) Remediation Tracker

Turn privacy findings into owned, time-bound actions with supporting implementation evidence and verified closure.
Use the working sequence below to connect the decision to operating implications, retained evidence and the point where specialist DPO support may be required.

Prepared by DPO Arabia

Practical KSA PDPL guidance, not organisation-specific legal advice.

KSA PDPL GUIDE

Turn PDPL findings into controlled corrective action.

The Guide frames how findings should be recorded, owned, remediated, evidenced and closed so unresolved risk remains visible. The organisation-specific conclusion should be validated before implementation.

USE THIS WHEN

Use when an audit, assessment, DPIA, incident or governance review creates actions that must be tracked to closure.

This becomes relevant for new findings, inherited backlogs, overdue actions or remediation programmes that need stronger ownership and evidence.

HAVE READY

Bring the finding, risk, agreed action, accountable owner and expected evidence.

Useful inputs include target dates, dependencies, approvals, implementation records, validation evidence and any residual-risk decision available.

OUTCOME

Finish with a governed remediation record that shows what changed and why the finding was closed.

A complete evidence set retains the finding, priority, owner, corrective action, implementation evidence, validation result, closure decision and future trigger.

HOW TO USE THIS GUIDE

Use the Guide to frame the decisions before implementation.

This Guide highlights the decisions, evidence and operating interfaces that should be resolved before the requirement is treated as complete.

Use it to understand the issue, challenge the relevant facts and identify where organisation-specific legal, operational or technical input is needed.

GUIDE OUTCOME

A governed remediation tracker showing what failed, what changed, who validated it and why the finding was closed.
The objective is a defensible decision and an operating control, not simply a completed template or document.

QUESTIONS TO RESOLVE

What should the DPO Office establish?

REMEDIATION TRACKER CHECKPOINT

01

What specific PDPL obligation or control is not being met, and what evidence supports the finding?

02

What is the priority, impact and accountable owner?

03

What corrective action will address the underlying control gap, and by when?

04

What evidence will demonstrate that the action has been implemented and is operating effectively?

05

Who can approve closure, what residual risk remains and what should trigger future review?

WORKING STEPS

Use the sequence to identify the decisions that need to be resolved.

01

Record the finding clearly

Describe the actual PDPL control gap, its source and the affected processing before assigning remediation. The record should make clear what requirement is not being met and why the issue matters.

What to validate in practice

FINDING QUALITY

A remediation item should describe the control gap, not just the symptom. “Data Processing Agreement (DPA) missing” is weaker than identifying the active Processor relationship and the specific contractual control that is absent.
02

Assess priority and ownership

Prioritise the finding according to compliance impact and assign an accountable owner with a realistic target date. Age alone should not determine remediation priority.

What to validate in practice

PRIORITY PRINCIPLE

Risk priority and ageing are different. A recent high-impact control failure may require faster escalation than an older low-risk administrative gap.
03

Define the corrective action

Set out what must change to address the underlying control gap, who will deliver it, the dependencies and the evidence expected before closure can be considered.

What to validate in practice

CORRECTIVE ACTION

The action should describe what will make the control compliant, not merely what document will be drafted or which meeting will be held.
04

Validate implementation

Review the submitted evidence and test whether the corrective action has actually been implemented and is operating as intended before recommending closure.

What to validate in practice

CLOSURE PRINCIPLE

“Action completed” is not the same as “finding closed.” Closure should follow evidence review and validation that the required control is operating.
05

Close with evidence and monitor recurrence

Record the closure decision, residual risk and linked control updates, then retain enough evidence for management and the DPO Office to understand why the finding was closed.

What to validate in practice

STATUS DISCIPLINE

Use closure status to show the real control position. Open work, validated closure and accepted residual risk should remain distinguishable in management reporting.

EVIDENCE TO RETAIN

Know what evidence should remain after the work is complete.

Retain the original finding, risk rating, agreed action, owner acceptance, implementation evidence, validation result, closure approval, residual risk and review history.

RETAINED EVIDENCE SET

Keep every finding linked to an owner, target date and closure requirement.
Retain evidence showing why an item was closed, extended, accepted or escalated.

BEFORE YOU CLOSE THE WORKFLOW

Validate the operating position, not only the document.

Before closing a remediation item, confirm that the corrective action is implemented, evidence is retrievable, effectiveness has been validated, residual risk is understood and the closure decision is approved.
Use the checks below to test whether closure is supported by evidence and validation, not simply by a status change in the tracker.

FROM GUIDANCE TO OPERATION

Connect the decision to the wider DPO Office.

Remediation becomes an assurance control when findings, owners, evidence, validation and closure decisions remain visible through the DPO Office. Use this handoff to make corrective action part of recurring governance.

01

Apply the DPO guide

Use the guide to structure findings, set priorities, assign owners, define expected evidence and establish a consistent validation and closure process.

03

Connect the controls

Connect every remediation item to its source finding, PDPL obligation, affected processing activity, accountable owner, corrective action, implementation evidence and closure decision.

03
