DPO Arabia

PDPL in Hospitality & Tourism

Operate PDPL across guest journeys, hospitality systems and international travel ecosystems.

DPO Arabia helps hotels, resorts, travel operators, tourism businesses and hospitality platforms apply the KSA PDPL across reservations, check-in, guest preferences, loyalty, payments, CCTV, Wi-Fi, workforce processing, service providers, marketing and international access.

Start with the common triggers below to see where sector-specific processing, systems, third parties, transfers and retained evidence typically require DPO attention.

COMMON PDPL TRIGGERS

Bring the Data Protection Officer (DPO) Office in when these processing events occur.

We bring DPO review into hospitality and tourism activities when a change creates a new privacy decision, control requirement or evidence obligation.

WHY INDUSTRY CONTEXT MATTERS

Apply PDPL to the way hospitality & tourism actually operates.

A single guest journey can involve direct booking, travel agents, global reservation platforms, property-management systems, payment providers, loyalty programmes, CCTV, Wi-Fi, customer support and post-stay marketing. The DPO Office must keep transparency, consent, access, disclosures, retention and international processing aligned across systems that are often operated by different parties.

PRIORITY PROCESSING AREAS

Focus DPO effort where privacy exposure is highest.

We focus DPO attention on the processing areas most likely to require stronger governance, clearer ownership, deeper assessment or more defensible evidence in hospitality and tourism.

01

Reservations, check-in & guest identity

Booking, identity, contact, payment-support, travel and stay information may enter through direct, agent and platform channels and should remain connected to the relevant purpose and collection notice.

02

Guest preferences & special requests

Room, accessibility, dietary, medical or other special requests may reveal Sensitive Personal Data and should be collected only where necessary, tightly accessed and retained only as long as justified.

03

Physical property & connected services

CCTV, access controls, visitor records, Wi-Fi, call recordings and property-management systems create additional transparency, retention and access-governance requirements.

04

Loyalty, marketing & international platforms

Loyalty profiles, post-stay communications, booking platforms, global hospitality systems and support teams can create consent, profiling, Processor and cross-border transfer dependencies.

INDUSTRY DATA JOURNEY

Map and govern Personal Data across the operating lifecycle.

DPO Arabia maps where Personal Data enters the organisation, how it is used, where it is shared and what evidence should remain when the activity changes or ends.

Discover & reserve
Map hotel websites, travel agents, online travel platforms, call centres, loyalty accounts and direct booking channels.
Arrive & stay
Govern identity verification, payment, room access, Wi-Fi, CCTV, guest requests, service delivery and complaint handling.
Share & coordinate
Control access involving booking platforms, payment providers, loyalty partners, travel agents, cloud systems, Processors and international support teams.
Retain & re-engage
Align booking and stay records, loyalty profiles, CCTV, Wi-Fi, guest preferences and post-stay marketing with retention, consent and destruction requirements.

EVIDENCE YOU RETAIN

Keep the highest-priority controls in active DPO oversight.

We keep the highest-priority hospitality and tourism controls in active view and align recurring DPO attention to the organisation’s actual processing, systems, third parties and sector obligations.

RELEVANT DPO SERVICES

Connect hospitality and tourism exposure to the DPO services that address it.

We connect the identified government and public-sector services exposure to the specific DPO services needed to establish, operate, strengthen or evidence the required controls.

01

GUEST TRANSPARENCY

Privacy Notices

Keep notices aligned with booking, check-in, loyalty, Wi-Fi, events, concierge and other guest collection points.

02

HIGHER-RISK PROCESSING

DPIA

Assess CCTV, biometrics, behavioural analytics, location-enabled services and other processing that may increase guest or workforce risk.

03

SUPPLIER CONTROL

Processor Screening

Assess booking platforms, payment providers, property systems, loyalty vendors and other Processors before onboarding or material change.

04

TRANSFER RISK

TIA / TRA

Document destination, foreign access and transfer risk where global platforms, support teams or hospitality providers process data outside Saudi Arabia.

05

TRANSFER SAFEGUARD

SDAIA SCCs

Put the appropriate Saudi Data & AI Authority (SDAIA) contractual safeguard in place where cross-border hospitality processing requires Standard Contractual Clauses.

06

RECORD LIFECYCLE

Retention Schedule

Define retention triggers for reservations, guest profiles, loyalty, CCTV, events, payments and workforce records.

KSA PDPL REGULATORY CONTEXT

Anchor the operating scope to the KSA PDPL framework.

The same KSA PDPL framework applies across sectors, but the practical emphasis changes with the Personal Data involved, processing purpose, technology, recipients and risk to Data Subjects. Hospitality and tourism organisations may also be subject to tourism, hotel-licensing, immigration, payment, security or other operational requirements that affect guest identity, recordkeeping or disclosures. Those requirements should be mapped separately into the organisation’s KSA PDPL controls.

Saudi PDPL Article 29 – Cross-Border Personal Data Transfers and Disclosures

Reservation platforms, support teams, cloud providers and group systems can create overseas storage or remote access. Hosting a property in Saudi Arabia does not by itself make the processing domestic.

Saudi PDPL Article 25 – Restrictions on Direct Marketing and Awareness Messages

Post-stay campaigns, loyalty communications and other Direct Marketing should use clear consent, channel control and easy opt-out mechanisms where the KSA PDPL marketing rules apply.

Personal Data Destruction, Anonymization, and Pseudonymisation Guideline – First: Personal Data Destruction

Booking records, guest preferences, CCTV, Wi-Fi and support records should have defined retention triggers, justified periods and controlled destruction. Archive or backup copies remain Personal Data until they are actually destroyed.

Saudi PDPL Article 31 – Record of Processing Activities (RoPA)

Booking channels, property systems, recipients, access locations and retention rules should remain current in the RoPA as hospitality technology and service-provider arrangements change.
